Student Elections

We're a student-led charity with loads of positions to help us empower our student communities - from Full-time Union Presidents (paid) to Part-time Officers, Student Trustees, and our Union Chairperson (voluntary) - each of these roles contributes to our work.

As a student, you can nominate yourself for a position, become a candidate, and stand in our elections - with every student getting the chance to vote. Below are all our positions that students can nominate themselves for.

Our Presidents (Sabbatical Officers) lead the Union on a daily basis. We have four positions - 1 x Group President that's open to all students, and 3 x Campus Presidents which are open to Swansea, Lampeter, and Carmarthen students. You should run for this position if you have ideas and enthusiasm and are ready to take on student representation as a full-time job for a year.

Together, the team of Sabbatical Officers leads the Students’ Union on a daily basis, providing direction to the Union’s staff team and making sure that the work of the organisation is relevant to the experience of our students. Sabbatical Officers are considered to be the primary student representatives by the University and provide student ideas, issues and opinion on a variety of topics by participating in project, partnership and committee work within the University.

Sabbatical Officers set the agenda in terms of new ideas and activities for the Students’ Union to try, and work hard to make sure that all students know what their Union is for, and how they can get in touch. Sabbatical Officers automatically serve as trustees of the Students’ Union, and any candidates should read the Student Trustees section to make sure they are eligible.

Responsibilities of all sabbatical officers include...

  • To work in such a way that promotes the values and mission of the students’ union and does not bring the Union into disrepute.
  • To effectively represent the views of students to the University and other stakeholders in order to advance the experience of students at the University of Wales Trinity Saint David.
  • To fully participate in the University’s committee cycle by attending designated committees, groups and boards and making representation on behalf of UWTSD students.
  • To ensure that the Union is operating according to its constitution and bye-laws.
  • To work in a transparent manner, updating students regularly through articles, blogs and other methods of communication as deemed appropriate. 
  • To understand how issues of Higher Education policy affect current and future students, and disseminate knowledge and collectively organise students to act in their best interests.
  • To encourage students to participate in an activity that strengths student voice, improves their University experience, develops their skills and/or creates a vibrant and engaging community.
  • To serve as a ‘Sabbatical Trustee’ on the TSDSU Board of Trustees in accordance with Articles 24-50 of the Memorandum and Articles of Association.
  • To champion core SU policies, including a commitment to equal opportunities; zero tolerance to harassment; sustainability; and bilingualism and the Welsh language.
  • To increase student involvement in all aspects of the Union’s processes, structures, and activities.
  • To work together as a team to strengthen and advance the aims of the Students’ Union.

Responsibilities of the campus presidents include...

  • To oversee the provision of high-quality activities and facilities for students and the development of the range of activities and facilities available on each campus.
  • To support the development of localised engagement opportunities for student in activities and volunteering.
  • To support the development of the student representation system and provide advice, guidance and assistance to Course and Faculty Reps as required.
  • To ensure information is gathered and fed back between the Students’ Union, the University and Students regarding issues, wins and challenges.
  • To promote and refer students to the relevant University support services.

Responsibilities of the group president include...

  • To represent students on the London, Birmingham and Cardiff campuses and develop a system of representation on those campuses that works for the needs of those students.
  • To maintain contact with representatives in UWTSD partner colleges and, where there are no representatives, work with student liaison officers to ensure students on UWTSD courses are effectively represented.
  • To represent the Students’ Union at University Council and University Senate.
  • To chair the Executive Committee, and to support the work of the Campus Presidents.
  • To attend, and report to, Students’ Union Council, the campus Student Councils, and the Annual General Meeting.
  • To support initiatives that encourage student well-being and promote community cohesion.
  • To attend, and report to, Students’ Union Councils, the appropriate Campus Student Councils, and the Annual General Meeting.
Part-time Officers

There are 17 roles on each of the Carmarthen, Lampeter and Swansea campuses. The positions represent either a particular demographic of students or an area of interest. Part-time Officers represent a particular community of students and attend Campus Council.

You should run to be a part-time officer if you are passionate about one of the roles and have lots of ideas about how you can get students involved, campaign for change, or make students’ lives better.

These are voluntary positions, which exist to make sure that SU decision-making is representative of our students and to help create a lively and active campus culture. Each of our Swansea, Lampeter, and Carmarthen campuses have a Campus Council, which is populated by their respective Part-time Officers. Campus Council meets once a month during term-time and discusses and implements student ideas. Each of the three Campus Councils has the following positions up for election:

Black Students' Officer - This role exists to extend and defend black students’ rights, promote black students’ issues and support black students. To be eligible to stand for this position you must self-define as from African, Asian, Arab or Caribbean descent. 

Disabled Students’ Officer - This role exists to extend and defend disabled students’ rights, promote relevant issues and support disabled students. To be eligible to stand for this position you must self-define as disabled. This includes physical disability, mental health conditions/distress, chronic illness, sensory disabilities, neurodiverse students and learning difficulties/disabilities.

Gender Identity Officer - This role exists to extend and defend the rights of Trans students, promote Trans issues and support Trans students. To stand for this role, candidates must self-define as Trans.

International Students’ Officer - This role exists to represent International Students, seeking to enhance the international student experience and promote their issues and ideas. To stand for this role, candidates must be a non-EU student. 

LGBT+ Officer (Open Space) - This role exists to extend and defend the rights of LGBT+ students, promote LGBT+ issues and support LGBT+ students. To stand for this role, candidates must self-define within the LGBT+ umbrella. 

LGBT+ Officer (Women’s Space) - This role exists to extend and defend the rights of LGBT+ students, promote LGBT+ issues and support LGBT+ students. To stand for this role, candidates must self-define as a woman.

Mature Students’ Officer - This role exists to represent Mature Students, seeking to enhance the student experience for mature students and promote their issues and ideas. To stand for this role, candidates must be over 25 years old. 

Postgraduate Students’ Officer - This role exists to represent Postgraduate Students, seeking to enhance the postgraduate experience and build an active postgraduate network.

Societies Officer - This role exists to support and represent union-affiliated societies, assisting them in working towards club accreditation, helping them to promote their activities and run successfully and sustainably. 

Sports Clubs Officer - This role exists to support and represent union-affiliated sports clubs, assisting them in working towards club accreditation, helping them to promote their activities and run successfully and sustainably. 

Student Engagement Officer - This role exists to promote student involvement in Students’ Union activities including events and survey promotion, Pop Up Unions and University Open days.

Student Parent/Carers’ Officer - This role exists to represent Student Parents & Carers, seeking to enhance the student experience and build an active Student Parents & Carers network. 

Sustainability Officer - This role exists to promote sustainability, engage students in sustainable activity and campaign for a more sustainable University and the wider community. 

Volunteering & RAG Officer - This role exists to encourage and promote all aspects of volunteering. The officer will help to organise volunteering and charity fundraising initiatives, working particularly closely with clubs and societies to encourage student-led activity.

Wellbeing Officer - This role exists to promote all aspects of student health and wellbeing and enhance the student experience at UWTSD. 

Welsh Language Officer - This role exists to extend and defend the rights of Welsh-speaking students, promote the increased use of the Welsh language,  and raise issues and provide support to Welsh-speaking students. To stand for this role, candidates must be a fluent Welsh speaker.

Women’s Liberation Officer - This role exists to extend and defend women’s rights, promote women’s issues and support women students. To be eligible to stand for this position you must self-define as a woman. 

Student Trustee
  • Part-time

Trustees sit on our board and are our final decision-makers and have responsibility for our success. This is our highest level of management and governance.

You should run to be a student trustee if you are interested in how organisations make decisions, are keen to ensure that the Students’ Union works for the benefit of UWTSD students, and want to help shape the strategy and future direction of the organisation.

These are voluntary positions, through out-of-pocket expenses are available to enable trustees to attend Trustee Board meetings. Student Trustees help to ensure that the Union is being run in the best interests of students at UWTSD by scrutinising performance and making sure that the Union is complying with the law and being run in a financially sustainable way.

Trustees have legal control over and are personally responsible for, an organisation. 

A full induction to the Board and trustee training is provided to all successfully elected Student Trustees. The Board meets four times a year (usually 10 am - 3 pm) and each Trustee is also allocated a sub-committee which meets three times a year (usually for 90 minutes a time).

To be eligible to become a Trustee:

  • You must be at least 18 years old to be a trustee of the Students’ Union.
  • You may not act as a trustee if you are disqualified under the Charities Act. This includes if you:
  • Are disqualified as a company director
  • Have an unspent conviction for an offence involving dishonesty or deception (such as fraud)
  • Are an undischarged bankrupt (or subject to sequestration in Scotland), or have a current composition or arrangement including an individual arrangement (IVA) with your creditors
  • Have been removed as a trustee of any charity by the commission (or the court) because of misconduct or mismanagement
Union Chairperson
  • Voluntary
  • Part-time

The Union Chairperson provides direction during talks at our Annual General Meeting, Union Councils, and other student forums of discussion.

Open to all students. The Union Chairperson provides direction during talks at our Annual General Meeting, Union Councils, and other student forums of discussion. They ensure talks are fair and balanced, so all students are heard.

You should run for this position if you are not currently a Students' Union officer or Trustee, are interested in the work of the Students' Union, and are keen to make sure that the Students' Union is acting in the best interests of its members. You will be provided with meeting chairing training on successful election to the role.

This is a voluntary position. The Chairperson role chairs the Students’ Union Annual General Meeting and each meeting of the Union Council. The role exists to make sure that debate at the meetings is fair and balanced, and that everyone has a fair opportunity to speak and share their thoughts and ideas. Training is provided!

Whether you're an election veteran or this is your first time, we will take you through the process. Our student elections run in three phases - nominations, where students find a role they are interested in and submit a nomination to become a candidate - voting, where students vote for the candidates they want to be elected into the positions - and results, where we announce those who are elected. How Nominations Work

Nominations is a period of time when students can submit a nomination to become a candidate in our student elections. We let our members know when nominations are open by publishing our Notice of Nominations.

If you've seen a position you're interested in - you'll need to make a nomination to become a candidate. You can do this on our Notice of Nominations. Note that there are deadlines and eligibility criteria to meet - we'll notify you if your nomination has been approved or rejected via email. 

Recommend a friend

If you know someone you think would be perfect for one of our roles, you can let us know by filling out our Recommend a Friend form via our Notice of Nominations and we'll reach out to them. Important - this is not a nomination - they'll need to do that themselves.

Submit Your Manifesto

As part of the nomination process, you can submit a manifesto - this is a written statement that tells voters all about you and why you are right for the job. Don't stress if you're not a naturally born writer - check out our Manifesto Writing Tips webpage for guidance.

How Voting Works

Every UWTSD student can vote in our student elections - we'll let you know when voting opens and closes on our notice of poll - which also contains a list of candidates. 

Voting Link

On the first day of voting, we send everyone an email which contains a unique voting link - do not share it with anyone else! You can also vote by going to the online voting platform and signing in with your student ID. If you haven't received a voting email or cannot sign into the website, drop an email to elections@uwtsd.ac.uk.

Single Transferable Voting

Our elections use the single transferable voting system - allowing you to rank candidates in order of your preference. You can rank as many (or as few) candidates as you want - or even vote to re-open nominations, which restarts the election process. To get elected, a candidate must have over 50% of the votes – this is known as the quota. Voting is done in rounds; if no one reaches the quota in the first round, the candidate with the lowest number of votes is eliminated, and their votes are shared between the remaining candidates based on the voter’s preference – this is repeated until a winner is declared.

Frequently Asked Questions

Below are answers to some of our most frequently asked questions. If you have any other questions, contact our Elections Team at elections@uwtsd.ac.uk.  

Can I stand for any of the positions during Elections?

Birmingham, Cardiff, and London students can run for Group President, Student Trustee, or Union Chairperson positions.

Carmarthen, Lampeter, and Swansea students can run for Group President, Campus President, Part-time Officer, Student Trustee, or Union Chairperson positions.

I'm having trouble nominating

First, check that you are eligible to stand for that role. For some roles you need to be a student studying on that campus. If you’re still having issues get in touch with us at elections@uwtsd.ac.uk

How much money will it cost me to run in the elections? 

Nothing, we will reimburse you for any money spent in the election. All candidates have a budget to stick to – you can read this in our financial regulations.

I’m not sure what to put in my manifesto.

Do I have to know the role inside-out?

All Elected Officers, Trustees and the Union Chairperson will receive training for their role, so don’t worry about not knowing everything right away!  

Is there any training for candidates? 

Yes! We run several sessions to support candidates, and you can check out our candidate resource hub to find some more as well.  

I can’t vote, what should I do? 

If you can’t log in through the website, please email elections@uwtsd.ac.uk and our team will get back to you as soon as possible. Email as soon as you realise this – we can't do anything after voting closes.

What if I think that a candidate has done something wrong?

Check out our Elections Regulations to see if you think a candidate has breached the Elections Principles. If you think they have, fill in the Elections Complaint Form to submit your complaint. If you’re not sure – get in touch with the Elections Team at elections@uwtsd.ac.uk.

During your election campaign, you will be involved in a series of activities. It is important to remember that you are bound by various rules, regulations and policies.

The 5 Core Principles

There are 5 core principles that all candidates must adhere to, failure to do so will cause the candidate to be subject to sanctions or sanctions ranging from restricting various forms of campaigning to the more extreme case of being removed from the election. For the avoidance of doubt, the use of the term ‘candidate’ or ‘candidates’ also refers to campaigners or campaign teams.

  1. Students must be free to cast their vote without undue influence or pressure.
  2. Obey the law, union and university policies.
  3. Treat others as you wish to be treated.
  4. Campaign within the financial allowance provided.
  5. Campaigners should not undertake campaign activity which others could not also reasonably do, and campaigning will start on the agreed-upon day.

Students must be free to cast their vote without undue influence or pressure.

Candidates may not stand and watch students when they vote as the student would be under pressure to vote for that particular candidate. Candidates should move far away from students when they are voting.

Whilst it is allowed to hand out a flyer and a sweet to make students remember you and listen to you, you would not be allowed to offer to give students a reward (a sweet, money etc.) that they get after they have voted for you, as this would be seen as influencing a student’s vote.

Obey the law, union and university policies.

This means that you as a candidate and your campaign team, as always, must adhere to the law, University regulations (such as their behavioural code, health and safety regulations, equal opportunities procedure, harassment code, damage to university property, and use of email etc.) and Union policy. Breach of these policies can lead to a disciplinary which could in turn affect your student status and your Union membership.

Treat others as you wish to be treated.

This principle covers a lot of ground. For example: defacing other candidates’ publicity and heckling other candidates are among the actions that would be considered a breach of this principle.

Campaign within the allowance provided.

Items produced or primarily used for your campaign must be accounted for within the given allowance in line with the union’s financial election regulations.

Campaigners should not undertake campaign activity which others could not also reasonably do, and campaigning will start on the agreed-upon day.

All candidates will have equal opportunities to campaign and engage with students. This means that you cannot use methods and channels to engage with students that are not freely available to all candidates.

Candidates must not campaign until the start of campaigning. Campaigning may start prior to polls opening or on the same day. The exact date will be made clear to all candidates.

This means for example that you may not do any lecture shoutouts or put up posters before the start of campaigning, this is to ensure that all candidates start campaigning at the same time.

Candidate Engagement

In addition to the 5 core principles, it is expected that candidates engage with the process.

They are expected to attend a candidate briefing and submit all forms on time including the candidate declaration. Failure to do so may lead to disqualification from the election process including after the close of voting.

Re-running officers

Where officers are re-standing for a second term, they are restricted from using any facility open to them as current officers. For further details, officers should refer to the SU Staff Conduct During Election Guidance Document or the elections team.

Student Staff

Candidates and campaigners who are employed by the Union as student staff must not campaign while they are working for the Students’ Union. Candidates should refer to the Student Staff Guide for Working During Elections Guidance Document or the elections team.

Promotional Materials

Candidates must not incorporate the Students’ Union or University’s branding or logos on any promotional material.

If a Candidate appears on existing SU or University resources or webpages, then alternative imagery of the candidate must be used for the purpose of campaigning.

Candidates cannot use the Union’s resources or those of clubs and societies.

Election’s Penalties

Breaching the Election Regulations or other relevant Students’ Union or University policies may result in the application of a penalty. Examples include;

  • Receive an informal verbal warning
  • Receive a formal written warning
  • Be disqualified from the elections

Further disciplinary action may be taken against any offenders under the Students’ Union’s and University Policies. 

Financial Regulations

Candidates must not exceed their budget limits. For all positions, candidates will be given a limit of £30 to spend which will be refunded to them. A candidate will have a limit of £30 regardless of how many positions the candidate is running for.

Candidates should complete a Candidate Expenses Claim Form by the close of voting to the Elections Team. This must detail all expenditures. Failure to hand in the Candidate Expenses Claim Form by the deadline will result in no money being reimbursed and may lead to disciplinary action which may include disqualification.

Candidates who spend over their allotted budget will be subject to disciplinary action and may be disqualified from the Election.

You must keep a record of the costs of your campaigning materials and be able to present receipts and evidence of expenditure if requested to do so by the Deputy Returning Officer. This can be screenshots of expenditures online.

Candidates can use any item that anyone could reasonably get for free. These include but are not limited to:

  • Old T-shirts
  • Paint
  • Old Bedsheets
  • Stationary
  • Blu- tack/Tape/Pins
  • Cardboard
  • Wood
  • Software accessible via a UWTSD Student Account

The deputy returning officer determines what items candidates could reasonably get for free.

Any materials used for campaigning and already owned by the candidate count towards a candidate’s campaign budget.

  • Costumes - £5 per costume.

All printing is budgeted at the following rates per side regardless of source.

Candidates can purchase posts on social media from their budget and this will be charged at the cost applied to that candidate by the social media provider.

Candidates are permitted to recruit campaign team members with skills and use these to support their campaigns. Any paid-for services must be declared on the budget sheet.

Transport Reimbursement

UWTSD is a multi-campus University spread across England and Wales. All students regardless of Campus can vote for all of the positions available during the elections. During the campaigning process candidates may wish to visit other campuses to campaign to other students. This election will trial a reimbursement scheme for travel expenses for candidates to allow them to travel to the different campuses without the associated cost. It should be noted that this is a separate fund from the campaign allowance.

Who is Eligible

All candidates running for a full-time officer role only. (Group President, Carmarthen Campus President, Lampeter Campus President and Swansea Campus President.) 

What is a candidate entitled to

  • 1 return journey to each campus (excluding their home campus) during the in-person campaign week.
  • Or a multi-campus trip. This includes direct travel to the sites and overnight accommodation.

Arrangements can allow a candidate to travel each day in a variety of ways.

Why can a Candidate Travel

This is for to campaign only. Candidates will be required to sign into campuses and stay in contact with the Deputy Returning Officer during overnight stays.

How does the process work?

Organisation and Planning

  • Candidates must complete the Travel Planning Form by 13:00 Wednesday 1st of March 2023. Only travel requests submitted on the form will be approved.
  • The Students’ Union Election Team will be responsible for booking all travel arrangements for the candidates.
  • The Deputy Returning Officer determines what is to be considered a reasonable travel plan.

Safety and Wellbeing

  • When a candidate arrives and departs a campus, they should visit one of the onsite polling stations to check in or out with a Students’ Union member of staff.
  • When a candidate is staying overnight they must text the Deputy Returning Officer to confirm their arrival and departure from the booked accommodation.
  • Candidates should disclose any access requirements on their Travel plans to the Elections Team.


Complaints & Appeals

Any member of the Students’ Union may make a complaint by completing a Complaints Form (online form), which should be supported by evidence.

All complaints must be submitted within 24 hours of the incident occurring and by the close of voting.

Only complaints about the process of the count itself will be considered once the count has started, which must be submitted within 24 hours of the results being declared.

All completed complaint forms will be initially received by the Deputy Returning Officer. All decisions on the interpretation of the election’s rules will be made by the Deputy Returning Officer.

Candidates may appeal against decisions made by the Deputy Returning Officer and their Deputy by submitting their appeal in writing, within 24 hours of the decision being made, following the appeal procedure.

  1. The first stage of appeal is heard by the Returning Officer; if the candidate remains dissatisfied then,
  2. The second stage of appeal is to the Trustee Board Nominations, Appointments and Audit Committee who will hear the case put forward by the candidate and the case put forward for imposing sanctions by the Returning Officer, or their nominated Deputy.
  3. Final stage appeal is to the University Deputy Vice-Chancellor or their nominated deputy.
     

Complaints

There are rules to follow in our elections, and if you think someone has broken them or something is not right - you can make a complaint.

Any Students’ Union member can submit a complaint by completing the online Elections Complaint Form.
